Law firms run on information asymmetry – but not the kind they want. While attorneys manage complex cases with deep expertise, their clients sit on the other side of a communication gap, wondering what is happening with their matter, whether the latest document was received, and why the invoice seems higher than expected. The result is a constant stream of “just checking in” emails and phone calls that consume billable hours and frustrate everyone involved.

A well-built client portal solves this by giving clients self-service access to the information they care about most: case status, documents, billing, and communication history. For the firm, it reduces administrative overhead, improves client satisfaction scores, and creates a tangible differentiator in a market where most firms still communicate primarily through email attachments and phone tag.

But building a client portal for a law firm is not like building a generic project management dashboard. Legal work has specific requirements around confidentiality, document handling, compliance, and billing that make the development nuanced. Here is what you need to get right.

Security and Confidentiality as the Foundation

Attorney-client privilege is not a feature request – it is a legal obligation. Every design decision in a law firm client portal flows from the requirement that confidential information must be protected with the same rigor the firm applies to its physical files.

At the infrastructure level, this means encryption at rest (AES-256 for stored data, including database fields containing case details) and encryption in transit (TLS 1.3 for all connections). But encryption alone is not sufficient. Access control must be granular: a client should see only their own matters, documents, and invoices. Within the firm, a paralegal working on Case A should not have access to Case B unless explicitly granted.

Role-based access control (RBAC) is the minimum. For firms handling sensitive matters – family law, criminal defense, high-stakes litigation – attribute-based access control (ABAC) adds another layer by allowing policies like “only attorneys with an active engagement letter can access this matter’s documents” or “financial documents are visible only to the billing partner and the client.”

Multi-factor authentication is non-negotiable. Implement TOTP (time-based one-time passwords via apps like Google Authenticator) as the default, with SMS as a fallback. For firms with institutional clients, support SAML-based SSO so that the client’s employees authenticate through their own identity provider.

Audit logging must be comprehensive and immutable. Every login, document view, download, upload, and message should be logged with timestamp, user ID, IP address, and action taken. Store audit logs in append-only storage (separate from the main database) and retain them for at least seven years, which aligns with most state bar association record retention requirements.

Matter-Centric Dashboard Design

The portal’s home screen should be organized around matters, not features. A client with three active cases does not want to navigate to a “Documents” section and then filter by case. They want to see their three cases, click on one, and see everything related to it: status, recent activity, documents, upcoming deadlines, and billing.

Each matter should display a status summary at the top: current phase (discovery, negotiation, trial preparation, etc.), key upcoming dates, and the assigned team members with their roles. Below that, a chronological activity feed shows recent events: “Document uploaded: Settlement Agreement Draft v3,” “Message from Sarah Chen, Associate,” “Invoice #4582 issued: $3,450.00.”

The activity feed is the single most valuable feature in a client portal. It answers the question clients call about most often: “What is happening with my case?” If the feed is comprehensive and updated in real-time, firms report a 30-50 percent reduction in status inquiry calls within the first three months of portal deployment.

Design the matter dashboard to show three to five matters on the overview screen with enough detail (status, last activity date, next deadline) that clients can triage their attention without clicking into each one. For clients with more than ten active matters – common with corporate clients – add filtering by practice area, assigned attorney, and status.

Document Management and Collaboration

Document exchange is the most frequent client-portal interaction. The system needs to handle three workflows: firm-to-client document sharing, client-to-firm document submission, and collaborative document review.

For firm-to-client sharing, attorneys should be able to share documents from their existing document management system (NetDocuments, iManage, or SharePoint are the most common in legal) without manually uploading files to the portal. Build a sync integration that lets an attorney tag a document as “client-visible” in their DMS and have it appear in the portal within minutes. This is critical for adoption – if attorneys have to manually upload documents to a separate system, they will not do it consistently.

For client-to-firm submission, the portal needs a straightforward upload interface with clear instructions about what is needed. Categorize requested documents by type (identification, financial records, contracts, correspondence) and show completion status so clients know what they have provided and what is still outstanding. A document request checklist that shows “5 of 8 items submitted” is far more effective than a generic upload form.

For collaborative review, integrate a document viewer that supports annotation and commenting without requiring the client to download the file and mark it up in Word. PDF annotation (highlighting, commenting, signature placement) should work in the browser. For documents requiring signatures, embed an e-signature workflow (DocuSign or equivalent) directly within the portal so clients can review and sign without leaving the platform.

File size limits matter in legal work. Litigation document productions can include files exceeding 100MB. Support chunked uploads with resume capability, and set the limit high enough (at least 500MB per file, 2GB per batch) that clients do not need to compress or split files before uploading.

Billing Transparency and Payment Integration

Legal billing is a consistent source of client frustration. Invoices arrive weeks after the work was done, line items are cryptic (“Review and revise correspondence, 1.3 hours”), and there is no way to track spending against a budget in real-time.

A portal that surfaces billing information proactively turns a pain point into a trust builder. Show clients their current unbilled time and expenses (updated daily or in real-time, depending on the firm’s billing system), outstanding invoices with line-item detail, payment history, and a running total against any agreed budget or fee cap.

Integrate with the firm’s billing system (Clio, TABS3, Aderant, or Elite) to pull invoice data automatically. Display invoices in a readable format – grouped by timekeeper, with descriptions expanded to be human-readable rather than truncated billing codes. Allow clients to drill down from a summary view to individual time entries.

Online payment is no longer optional. Accept credit cards and ACH transfers directly through the portal. For credit cards, payment processing fees of 2.5-3 percent are significant on large legal invoices, so offer ACH as a lower-cost alternative (typically $0.25-$1.00 per transaction). Include the ability to set up recurring payments or payment plans for clients on structured fee arrangements.

For firms using alternative fee arrangements (flat fees, contingency, hybrid), the billing section should adapt. A flat-fee matter might show milestone-based billing: “Phase 1 complete – $5,000 invoiced. Phase 2 in progress.” A contingency matter might show expenses incurred to date without time-based billing detail.

Secure Messaging and Communication Tracking

Email is the default communication channel between attorneys and clients, but it has serious shortcomings for legal communication: messages get lost in crowded inboxes, attachments hit size limits, there is no guarantee of confidentiality, and there is no centralized record of the communication history on a matter.

A portal-based messaging system solves all of these. Messages are tied to a specific matter, stored securely within the portal’s encrypted infrastructure, and accessible to both the client and the assigned team members. The complete communication history lives in one place, searchable and chronologically ordered.

Build the messaging system to support both quick messages (similar to a chat interface) and longer-form communications with attachments. Notify clients via email when they have a new portal message, but include only a notification – never include the message content in the email body, as email is not a secure channel. The notification should say “You have a new message from Smith & Associates regarding Matter #2847. Log in to view.”

Allow attorneys to set response-time expectations. If the firm’s standard is a 24-hour response time for portal messages, show clients a status indicator: “Message sent – expected response within 24 hours.” This reduces the anxiety that drives repeated follow-up contacts.

Integration with Practice Management Systems

A client portal that exists as a standalone system, disconnected from the firm’s internal tools, will fail. Attorneys will not maintain two separate systems, and data will quickly fall out of sync.

The portal must integrate bidirectionally with the firm’s practice management system (PMS). At minimum, these data flows need to be automated: matter status and phase updates flow from PMS to portal. Calendar events and deadlines sync from PMS to portal. Documents tagged as client-visible in the DMS appear in the portal. Billing data syncs from the billing system to the portal. Client-submitted documents and messages trigger notifications in the PMS.

The most common practice management systems in the legal market are Clio (dominant among small and mid-size firms, with a well-documented REST API), PracticePanther, MyCase, and for larger firms, Aderant or Thomson Reuters Elite (which typically require custom integration work through middleware).

Build the integration layer as an abstraction so you can support multiple PMS platforms without rewriting the portal. Define a standard internal data model for matters, contacts, documents, and billing, and create adapters for each PMS that translate between the PMS’s API and your internal model. This is particularly important if the portal will serve multiple firms (as a SaaS product) or if the firm is considering switching PMS providers in the future.


A client portal is one of the highest-ROI technology investments a law firm can make. It reduces administrative overhead, improves client satisfaction, and creates a modern, professional impression that distinguishes the firm from competitors still relying on email and phone. But the implementation must respect the unique demands of legal work – confidentiality, compliance, and the specific workflows that govern how attorneys and clients interact.
