  • Evidence artifacts. Document type, upload date, source system, retention period, and integrity hash (SHA-256) for tamper detection.
  • Regulatory changes. New or modified regulations, impact assessment status, implementation deadline, and affected controls.

Design the schema to support historical queries. Compliance teams need to answer questions like “What was our control effectiveness rate for Q2 2024?” and “Show me all high-severity findings that were open for more than 90 days in the past 12 months.” Use effective-dated records (valid_from, valid_to) rather than overwriting current state.

Alerting and Escalation Logic

A compliance dashboard is most valuable when it proactively surfaces issues rather than waiting for someone to notice them.

Configure alerts for these conditions:

  • Control assessment overdue. If a quarterly control assessment is not completed within 5 business days of its due date, notify the control owner. After 10 business days, escalate to the department head. After 15 business days, escalate to the CCO.
  • High-severity finding approaching deadline. Notify the finding owner 14 days, 7 days, and 1 day before the remediation due date. If the deadline passes, escalate immediately.
  • Compliance score drop. If the overall compliance score drops by more than 5 percentage points in a single reporting period, alert the CCO.
  • New regulatory requirement. When a new regulation or amendment is entered into the system, notify the compliance team and create a task for impact assessment.
  • Evidence expiration. Notify the evidence owner 30 days before evidence artifacts expire (e.g., an annual penetration test report approaching its 12-month age limit).

Deliver alerts through the channels your team actually monitors: email for non-urgent notifications, Slack or Teams for time-sensitive alerts, and SMS or PagerDuty for critical escalations (systems down during an audit, data breach requiring immediate compliance response).

Audit Trail and Data Integrity

In a compliance context, the dashboard itself must be auditable. Every action taken within the system, every data change, and every access event should be logged immutably.

Implement an append-only audit log that records:

  • User authentication events (login, logout, failed attempts)
  • Data modifications (who changed what, when, and the before/after values)
  • Report generation events (who generated what report, when, with what parameters)
  • Data ingestion events (source system, record count, any validation failures)

Store audit logs separately from application data, with stricter access controls. Use write-once storage (S3 with Object Lock, or a dedicated audit log database where the application has INSERT but not UPDATE or DELETE permissions).

For evidence artifacts, compute and store a SHA-256 hash at the time of upload. When an auditor accesses the artifact, recompute the hash and compare it to the stored value. Any discrepancy indicates the artifact has been modified and should be flagged for investigation.

Retention policies for audit logs should align with regulatory requirements: 7 years for SOX-related data, 6 years for HIPAA, or as specified by your regulatory framework. Implement automated archival to cold storage (Glacier, Archive tier) for logs that exceed the active retention period but must be preserved for regulatory compliance.
